Sharing your O365 calendar

 

Step 1: Log into https://outlook.office.com using your Opelousas General email and your password; you may also be required to input a code as a second layer of authentication.

Step 2: Once in the site you will need to click on the Calendar tab located on the left-hand side of the page.

Step 3: You should see a section labeled “My calendars” and a calendar labeled “Calendar”. This is your default personal calendar associated with your O365 account.

Step 4: Hover your cursor of the title until your pointer turns into a hand icon. You will see three dots to the right of the title. Click on those dots.

Step 5: After clicking those dots a pop-out menu will appear.

From this menu, if you’d like to share your calendar with someone you will need to click the “Sharing and permissions” option.

 

Step 6: Once the “Sharing and permissions” menu pulls up, you will need to input the email address of the person into the provided box.

Note that a dropdown appears to the right of the person, preceding the Share button. This dropdown controls what kind of access the person you’re sharing the calendar with will have.

“Can view all details” – This permission allows the person to see your calendar and all the meetings/events you have scheduled or been invited to including recurring meetings/events, descriptions, attendance, and the location of the meeting/event.

 “Can view when I’m busy” – This permission allows the person to see that a meeting/event has been scheduled but won’t be able to see the name or location of the meeting/event.

“Can view titles and locations” – This permission allows the person to see the name of the meeting/event as well as the location of the meeting/event.

“Can edit” – This permission is the highest level of access. The person can create new meetings/events as well as edit or delete existing ones. Use this permission wisely.

 “Delegate” – Most commonly used for assistants. A delegate will be able to act on your behalf. They will be able to edit but also receive requests and responses to meetings/events on your behalf.

 

Once you click Share, the person will receive an invitation via email and see your calendar as an additional calendar in their O365 account.

 

If you ever need to remove someone from your calendar, repeat steps 1-6 and instead of inviting someone you’ll notice a trash can icon to the right of the person’s name whom you’ve shared your calendar with.
